A vehicle can leave your yard while its tag or plate remains linked to a company account. Assign someone who can access the toll accounts to work through the outgoing fleet list, and give the person preparing the vehicles a separate removal task. Record completion for each unit.
Identify the account behind each sticker
Start with the unit number, VIN, plate number and state, tag number, account provider and planned handover date. Keep account credentials and payment information in your company's normal secure records, outside the list you share with a buyer.
For TollTag, use NTTA's account guidance. For EZ TAG, use HCTRA. A TxTag sticker needs a closer look: TxDOT says customers whose accounts transferred to HCTRA can keep using their existing TxTag, with account information managed through HCTRA. The sticker's name alone doesn't identify the current account portal. Check the latest statement or contact the provider if the account history is unclear. TxDOT explains the current TxTag arrangements.
If different branches manage their own accounts, identify an account contact at each branch. Match the tag and plate to the actual vehicle before requesting changes.
Remove the physical tag
Put toll sticker removal on the vehicle preparation checklist. Record the tag number first so the account administrator has the identifier needed for cancellation.
TxDOT instructs sellers to remove and discard the TxTag/EZ TAG sticker and contact HCTRA to deactivate it. NTTA says removing a TollTag makes that sticker unusable; request a replacement for another vehicle through NTTA. Don't move an outgoing vehicle's sticker into its replacement. Ask the staff member preparing the unit to confirm removal. Keep this task separate from updating the account: an empty windshield doesn't prove that the associated vehicle record has been deactivated.
Deactivate the tag and vehicle record
NTTA allows cancellation or deactivation of TollTags through its online customer service center or by contacting customer service. Its FAQs also explain vehicle deactivation. Match the requested change to the plate and tag you recorded, then retain the confirmation.
For TxTag/EZ TAG, follow TxDOT's instruction to contact HCTRA customer service for tag deactivation. Ask the representative to confirm how the sold vehicle and its plate are removed or deactivated on your account. HCTRA's published EZ TAG agreement requires customers to notify it immediately about ownership, vehicle and plate changes before using its facilities or partner facilities. It says account charges remain the customer's responsibility until the status changes.
If you still operate other vehicles on that account, identify the outgoing units individually. Ask about account closure only when you're closing the whole account. Tag removal, unit deactivation and full account closure are different requests.
Confirm the Texas sale notification and plate handling
Complete the TxDMV step separately. TxDMV says filing a Vehicle Transfer Notification within 30 days of the sale protects the seller from parking tickets and toll violations committed by the purchaser. Keep the submission confirmation with the sale record. The seller guidance explains this protection and what to do if notices continue.
For a sale or transfer to a dealer, TxDMV's current dealer guidance says the dealer must submit the notification. Confirm submission and obtain the record for each unit. This does not cancel your toll account or deactivate its tags.
Before handover, confirm plate and registration-sticker handling under the guidance for your dealer or private-sale transaction. TxDMV's HB 718 guidance distinguishes plate procedures, including dealer handling of general issue plates and retention of specialty plates. Ask the dealer or county tax office about your vehicle's plate type rather than applying the same instruction to every unit.
Keep the record when a later bill arrives
Save the bill of sale, handover date, buyer details, vehicle identifiers, account-change confirmations and TxDMV notification record. Compare any later notice with the vehicle and transaction date, then contact the issuer using its official customer service route.
NTTA's sold-vehicle guidance calls for dealership bill-of-sale documentation or a TxDMV notification for an individual sale. Follow the instructions for your transaction. HCTRA's agreement says closing an account does not remove amounts still owed; ask the provider to review the specific charge rather than assuming cancellation erases it.
